How to Write a Lebenslauf: 7 Steps
Set up the tabular two-column structure
Open Word or Google Docs, set the page size to A4, and set 2 to 2.5 cm margins on all sides. Insert a borderless two-column table for the entire body: a narrow left column (4 to 5 cm) for dates, and a wider right column (10 to 12 cm) for content. Use Arial, Calibri, or Cambria at 11 points body text, 12 to 14 points for section headings. Place 'Lebenslauf' as the centred title at the top in 18 to 22 points bold. The professional Bewerbungsfoto (4.5 cm by 6 cm) sits in the top-right corner of page one. Save as PDF for the final submission to preserve formatting across recruiter systems.
Add the Persönliche Daten block
Immediately under the title, on the top-left of page one (with the photo to the right), list your personal details: full name, full postal address, telephone with international code (+49 or your country code), email, date of birth (DD.MM.YYYY), and place of birth. List education in reverse chronological order. Format: date range in left column, then in the right column the qualification name (Bachelor of Science, Master of Arts, Diplom, Abitur), the field of study, the institution and city, and the grade (Note). German grades are stated numerically (1.0 sehr gut, 2.0 gut, 3.0 befriedigend) with the descriptor in parentheses. Weiterbildungen and Zertifikate: list relevant professional training (PMP, Scrum Master, AWS Solutions Architect, SAP certifications) with date completed and issuing body. Sprachkenntnisse: use CEFR levels (A1 through C2) with descriptors (Muttersprache, verhandlungssicher, fließend, gute Kenntnisse, Grundkenntnisse). Common Lebenslauf Mistakes for International Applicants
1. Using a US resume layout for a Mittelstand application
A single-column US-style resume submitted to a German Mittelstand employer reads as unlocalised. Convert to the two-column tabular layout, even when applying to international tech companies operating in Germany, because Hiring Managers above 35 expect the structure.
2. Skipping the Anschreiben
German applications without an Anschreiben are routinely rejected at the first screening pass except at the most internationally oriented tech employers. The Anschreiben is mandatory; the AI-drafted version with a heavily edited 'why this company' paragraph is the practical workflow.
3. Translating GPA to a German grade incorrectly
A US 3.5 GPA is roughly a German 2.0 (gut), not a 3.5 (which is befriedigend). Stating '3.5 GPA' without conversion makes it look like a befriedigend grade to German readers. Always state both: '3.5 GPA (German equivalent: 2.0, gut)' or use anabin.kmk.org for the official conversion.
