Step by step

Connect the right mailbox and know its limits
Gmail gives you search, read and draft. Microsoft 365 added write tools in July 2026 and can send. Knowing which you have decides your whole workflow.

Start with triage, not action
Ask what needs a response today, what can wait and what is noise. This is the highest-value use and it carries no risk, since nothing is being changed.

Summarise long threads before replying
For threads you were added to late, ask for a summary plus the specific points needing your response. This alone saves the most time.

Draft in batches
Give it several messages and a one-line intent for each, and have it draft all of them. On Gmail you then review and send manually, which is a sensible checkpoint anyway.

Set explicit priority rules
Tell it who and what matters: clients, your manager, anything with a deadline. Without that it cannot distinguish genuinely urgent from merely loud.

Read before sending, always
Whether you send manually or the connector can send, review every message. Drafts can invent details or agree to things you did not intend.

Common mistakes
- Expecting Claude to send Gmail for you. Anthropic states the send function is not enabled and mail must be sent manually.
- Letting it archive or delete in bulk without review, which is hard to undo.
- Not defining your priorities, so its triage does not match what actually matters to you.
- Connecting a mailbox with confidential material without considering the privacy implications.
- Sending drafts unread, since they can include commitments or details you never approved.

Frequently asked questions
Can Claude send emails for me?
It depends on the provider, and this catches people out. The Gmail connector can search, read and draft, but Anthropic states the send function is not enabled and that all emails must be sent manually through your Gmail account. The Microsoft 365 connector gained write tools in July 2026 and can send email.
How do I connect Claude to Gmail?
Through the connectors directory in Claude, where you authorise the Gmail connector against your own Google account. Connectors inherit your existing permissions, so Claude can only reach what you can. On Team and Enterprise plans, an owner may need to enable it first and can control individual tools.
Can Claude clean up my inbox automatically?
It can triage and recommend, and with the right connector it can act, but bulk automatic deletion or archiving is a bad idea. Have it categorise and propose, then you approve. Errors in bulk mail operations are painful to reverse, and it does not know your priorities unless you state them.
Is it safe to connect Claude to my email?
Consider what is in your mailbox first. Connectors inherit your permissions, so Claude sees what you see. On Team and Enterprise plans, owners can set per-tool permissions such as allowing search but blocking sending. For genuinely sensitive mailboxes, weigh that access carefully before connecting.
Can Claude manage my calendar too?
Yes. The Google Calendar connector can view, create, update and delete events, which is a wider set of permissions than the Gmail connector has. That makes it useful for scheduling from email threads, and also worth watching, since deletion is included.
